1. Intelligent Agents send an automated email when instructor-defined criteria are met. The first step is to go to your course and click Management. |
2. Click Edit Course. |
3. Click Intelligent Agents. In this example the Course Administration page is sorted by Name. If your page is sorted by Category, you will find it under the Communications category. |
4. Once in the tool, click New Agent. |
5. Click Agent Name. |
6. Type in a descriptive name for this Agent. |
7. If you want to use categories, you can choose an existing category or click Add Category to create a new one. Categories are OPTIONAL. |
8. You MUST click the box next to Agent is enabled in order for the intelligent agent to run. |
9. The next step is to schedule how often this agent will run. Under "Scheduling," select the Frequency with which the agent should be activated. In this example, click Weekly, meaning that once a week, the agent will run if the criteria are met. |
10. Under "Criteria," determine the criteria the agent looks for. Select whether the agent will look at All users visible in the Classlist or Users with specific roles. |
11. All users visible in Classlist means that every user in the classlist will receive the email. This includes Content Assistants, Grading Assistants, etc. Users with specific roles lets you choose just Students. |

14. To have the agent activate when a student views or interacts with a specific item in the course, use Release Conditions. To learn more about the release conditions view Release Condition Types. |
15. Under Release Conditions, click Create. |
16. Use the Condition Type drop down menu to select the condition that must me met. The Condition Details drop down menu will update based on what was selected for Condition Type. Select the specific requirement. In this example, click Score on a quiz. |

22. In this example I typed in 50. This means that if a student received less than a 50% on Quiz No. 1, the Agent will email them. |
23. You can select either All or Any Conditions must be met. This is only appropriate if you have more than one condition that must be met. |
24. The next section is to determine what Action will be taken if the criteria are met. Under Actions, indicate whether the agent should take action the first time the criteria are met or every time the criteria are met. |

26. Click Send an email when the criteria are satisfied if users should receive an email if their actions satisfy the criteria. |
27. When sending Intelligent Agent emails you will need to use OAKS Replacement Strings in the TO area and possibly in the body of the email. To remind yourself what Replacement Strings you can use click on What special email addresses can I use? |
28. Review different Replacement Strings that can be used. Click OK to return to email template. |
29. In the To: box, you will want to type in {InitiatingUser}. This will substitute the CofC email address for any student that meets the criteria set above. You may wish to type in your email address in the BCC so that you get a copy as well. |

31. Enter a Subject (required). Type in Problems with Quiz No. 1. You can also use Replacement Strings in the Subject and Body. Click on What replace strings can I use in the subject and message? to learn more. |
32. Click Message: Enter text within the "Message" field and attach files as needed. Replacement Strings can be used here as well. |
33. In the example you will see {FirstName} used. This will add the users First Name from the OAKS Classlist into the email to personalize it. When finished, click Save and Close. |
